When paying suppliers on Alibaba, most buyers care about two things:
Is it safe? And am I paying more than I should?

This guide focuses on the real decisions you need to make before paying—rather than walking through every option and step already covered on Alibaba.

How does payment actually work on Alibaba?

Pay through Alibaba—your payment is held until you confirm receipt.

Paying through Alibaba means your order is covered by Trade Assurance—Alibaba’s buyer protection service, which involves two main types of fees.

1. Platform service fee (charged to suppliers)

Alibaba charges suppliers 2%–3% per transaction, with a cap of $100–$350. While this fee is officially paid by suppliers, in practice, most suppliers include it in product pricing — so buyers often end up paying for it.

2. Buyer-side payment processing fee

Buyers need to pay a payment processing fee, typically 2.99% or a fixed fee, depending on the method used. 

This fee is collected by Alibaba but essentially goes to banks or payment providers—Alibaba typically does not add a significant markup.

For first-time buyers or when working with a new supplier, using Trade Assurance is generally worth the extra cost for the added security.

Pay suppliers directly—cheaper, but riskier.

For example, paying suppliers directly by T/T to their bank account, or using Western Union or MoneyGram.

These may seem cheaper (no 2.99% fee), but you lose all buyer protection. If something goes wrong—supplier disappears or sends defective or non-compliant products—you’re on your own.

What is the safest way to pay on Alibaba?

The safest way is to use Trade Assurance with a credit card or PayPal. This gives you double protection—Alibaba protection plus chargeback support from your bank or PayPal if something goes wrong.

Best for small orders, such as samples or test orders in the range of a few hundred to around $1,000. 

Not suitable for large orders because:

  • Credit card payments come with relatively high processing fees, making them less cost-effective.
  • Many Chinese suppliers are reluctant to accept PayPal for large transactions due to high fees and increased chargeback risk.

What is the most cost-effective way to pay Alibaba suppliers?

Wire transfer (T/T): Cost-effective for large orders, with flat processing fees.

Wire transfer (T/T):

  • Widely used for large orders with flat bank fees, around $40–80, depending on intermediary banks.
  • No upper limit.
  • Processing time: 3–7 business days.

Domestic T/T offers lower fees and faster processing time than international T/T.

  • As low as 1 unit of local currency
  • 1–2 business days for processing.

However, domestic T/T is only available in certain regions:

  • Mainly developed markets such as the US, Canada, Germany, the UK, and France.
  • Some emerging markets, like Indonesia, Malaysia, and the Philippines.

Alibaba automatically prioritizes local payment channels when available. Transfer limit: up to USD 1 million per transaction.

Online Banking (local/regional)

1. Capped fees (percentage with a cap)

 For example, in the US, online banking charges 2.99% with a cap at $30. This means:

  • For orders above $1,000, the fee is capped at $30; online banking is more cost-effective.
  • For orders less than $1,000, using card or PayPal payments is faster and safer.

2. Fixed fees (flat fee per transaction)

In many other regions, local online banking charges a fixed fee, typically $15 per transaction, regardless of order size. For example:

  • Trustly – Sweden, Denmark, Norway, Germany, the UK, and selected European countries.

Additionally, Pix (Brazil), Pay-easy (Japan), and FPX (Malaysia) also typically charge fixed fees of $15 per transaction. Processing times vary—some are completed within 1–2 hours, while others take 1–2 business days.

For small orders under $500, percentage-based methods like credit cards can actually be cheaper than fixed fees.

Alibaba automatically shows available local payment options based on your location. If you see a fixed or capped fee, it is often one of the most cost-effective choices—especially for mid to large orders.

Note:

Buy Now, Pay Later (BNPL) options like Klarna or Afterpay are increasingly available in major markets like the US, Canada, and Europe, typically offering 3–4 interest-free installments.

For buyers, BNPL options usually come with similar processing fees to credit cards on Alibaba. They are suitable for small orders and come with amount limits.

L/C is available but rarely used. Due to higher banking fees, stricter procedures, and longer processing times, it is generally not cost-effective for most buyers.

How to negotiate payment terms with suppliers?

30% deposit to start production and 70% balance before shipping or against the bill of lading — this is the most widely accepted payment term.

In reality, whether you can negotiate depends largely on your order size.

If you’re placing small orders, there’s usually little room to negotiate. Most suppliers will stick to standard terms like 30/70.

Especially for orders in the range of a few hundred to around $1,000, your priority should be to find a reliable supplier willing to work with small orders. You should also arrange a quality inspection in China. This is how most experienced buyers manage risk when payment terms are fixed.

As your order value increases, or as you become a repeat buyer, suppliers are more willing to offer better payment terms—such as lower deposits or deferred payment terms like OA 30 days, meaning you pay 30 days after receiving the goods.

Also, for orders over $10k, buyers typically arrange a factory audit before placing the order to verify production capability and reliability.

Some listings show estimated freight, others say “to be negotiated,” and sometimes the cost looks surprisingly high.

The reason isn’t that Alibaba is random- it’s because B2B international shipping works very differently from retail platforms.

In this guide, we’ll break down how Alibaba shipping really works — for both small buyers and bulk importers — what affects cost & time, and how to avoid common misunderstandings.

1. How does Alibaba shipping actually work?

Small RTS (Ready to Ship) orders – handled by Alibaba.com Logistics

If you’re purchasing a small quantity of ready-to-ship items — such as one piece to a few cartons — Alibaba.com Logistics, the platform’s integrated cross-border shipping service, is usually used.

This option is more suitable for new sellers who are ordering samples or testing the market with small quantities.

On the product listing, you’ll directly see the estimated shipping fees and delivery time.

Large wholesale or custom orders – shipping to be negotiated.

Once your order is large, such as dozens or even hundreds of cartons, shipping costs are usually not shown as a fixed price on the product page. You’ll need to discuss shipping with the supplier or arrange your own freight forwarder.

Because the final packaging size and chosen shipping method directly affect the freight cost, shipping usually needs to be calculated separately.

For custom products, it’s even harder to provide an accurate shipping estimate upfront, since the final product specifications and packaging details haven’t been confirmed yet.

Shipping for bulk and custom orders is more like a renovation quote — it has to be calculated based on the actual situation, rather than being a fixed number shown in advance.

2. Why is Alibaba shipping so expensive?

International B2B shipping is costly.

International logistics involves more than transportation costs. It also covers customs declaration and clearance, duty handling, and cargo insurance. When the shipment volume is large, the total freight cost will naturally be higher.

In addition, shipping costs vary significantly by transportation method.

Express delivery and air freight are expensive. Charges are calculated based on whichever is higher: the actual weight or volumetric weight.

For bulky but lightweight products such as backpacks and clothing, freight is often charged by volumetric weight instead of actual weight.

Sea freight is cost-effective and is typically charged by volume (CBM) or per container.

In addition, shipping products with batteries, liquids, or powders usually comes with extra requirements. These sensitive products require additional certifications, special packaging, or stricter inspection procedures, leading to higher shipping costs.

Expensive compared to retail platforms like AliExpress

Many people wonder, “Why is AliExpress shipping so cheap — sometimes even free?”

For example, buying 1–2 cups on AliExpress may cost almost nothing in shipping, while on Alibaba, the same product shows a shipping fee of $10 or more.

The main reason is their different business models.

AliExpress is a B2C platform, and most small parcels are shipped via postal channels such as ePacket or China Post. With millions of parcels moving daily, the platform can negotiate significantly lower rates with postal carriers.

Alibaba is a B2B platform. For small orders of 1–2 units, they are typically arranged through the platform’s integrated cross-border logistics services rather than postal parcel channels. As a result, its freight structure differs from that of AliExpress.

Sometimes, you may see “Free Shipping”. For example, a $20 shipping subsidy for new users. This does not mean there is no logistics cost — it simply means the shipping fee is offset by a platform subsidy.

3. How long does Alibaba take to ship?

Alibaba’s delivery time depends on the shipping method, destination, type of goods, how smoothly customs clearance goes, and whether it’s peak season.

Typical shipping time from China to the US

  • Express like UPS and FedEx: 3-7 days door-to-door.

  • Air freight: usually takes 5-10 days in total.

    Best suited for small, high-value urgent orders.

  • Sea freight (LCL/FCL): 25-35 days – West USA; 35-50 days – East USA.

    LCL is suitable for shipments around 1 CBM and above. While FCL becomes cost-effective for large volumes (usually 15–20 CBM or more).

  • Sea freight + local courier delivery: 20-30 days in most cases.

    Popular option for e-commerce sellers looking to balance cost and delivery time.

  • Air freight + local courier delivery: usually 11–15 days.

    Slightly slower than express but more cost-effective. Suitable for urgent replenishment.

4. How can you lower Alibaba shipping costs?

If you’re shipping in volume, freight cost can make or break your margins. 

To lower shipping costs, the key is working with a reliable and experienced freight forwarder — whether it’s arranged by your supplier or one you find independently.

Finding a freight forwarder is similar to sourcing products on Alibaba.

You can search terms like “shipping service” or “freight agents”, then compare quotes, evaluate experience, and negotiate shipping terms.

A good freight forwarder typically helps you in two major ways:

Better freight rates through bulk volume

Experienced freight forwarders can access discounted agent rates from courier companies, shipping lines, and airlines, mainly because of their bulk shipping volume and long-term partnerships.

For example, in our case, negotiated express shipping rates can be 20–50% lower than standard published courier prices.

Product consolidation and flexible packaging

When sourcing various products from multiple suppliers in different Chinese industrial cities, consolidating all products into one shipment can help reduce per-unit freight costs and avoid repeated handling or customs-related charges. 

Based on your product features, requirements, and budgets, packaging and shipping modes can be optimized to reduce overall logistics costs.

5. Can you get free shipping on Alibaba?

Yes. You may occasionally see “Free Shipping” on Alibaba. However, this usually means the cost is subsidized by the platform or built into the product price by the supplier — not that the logistics cost is truly zero.

Shipping subsidy for first-time buyers

For newly registered buyers, Alibaba offers a first-order shipping coupon of up to $20. If the shipping cost falls within this amount, it may appear as “Free Shipping.”

Please note:
• The order must be shipped via Alibaba’s logistics services.
• The shipping coupon is valid for 7 days.

This offer is generally suitable for sample purchases.

If you only need 1–2 ready-made items for personal use or dropshipping, AliExpress may be a better option. Many Chinese suppliers operate stores on both Alibaba and AliExpress, but since AliExpress is a B2C platform, it typically offers a smoother after-sales experience for small retail orders.

Seller-provided shipping discounts

Some sellers may offer free shipping or a first-order shipping discount once you meet a set MOQ.

In most cases, they use more economical shipping methods such as sea freight or ePacket, which usually means longer delivery times.

Some may simply include the shipping cost in the order total rather than offering true free shipping. Therefore, it’s important to compare the total cost — product price plus shipping — instead of focusing only on whether “Free Shipping” is displayed.

Be sure to confirm the specific terms of any “Free Shipping” offer with the supplier to avoid unexpected charges. Some offers may not include import duties, customs fees, insurance, or last-mile delivery costs.

6. How to track Alibaba shipments?

To track your shipment on Alibaba, go to Order Management → Order Details → Shipping Details. 

If your order was shipped via express (DHL, UPS, FedEx, etc.), you can copy the tracking number and check it on tracking platforms like 17TRACK

For shipments via sea freight, air freight, or local trucking, contact your freight forwarder or supplier directly for updates.

When sourcing from China, Alibaba is widely used — but for newbies, safety is often a real concern. Common worries include product and supplier quality, payment safety, and whether refunds are possible when problems occur.

In this post, I’ll walk you through the real risks, how they actually play out, and how to avoid common mistakes.

Don’t skip this if you’re new to Alibaba — many buyers learn these lessons the expensive way.

Alibaba is generally safe — but supplier quality varies.

Alibaba itself is a legitimate and widely used B2B platform, but supplier quality varies widely. For the same product, you’ll often see thousands of suppliers, with huge differences in price and quality.

Put simply, this is how online sourcing works — the platform doesn’t choose suppliers for you. Buyers need to communicate more, compare options carefully, and assess supplier quality on their own.

Trade Assurance protects buyers — not instant refunds.

Trade Assurance is an important layer of buyer protection when sourcing on Alibaba. In dispute cases, the platform generally aims to protect buyers’ interests.

Buyers can win disputes when sufficient evidence is provided, as long as product specifications, quality standards, and delivery terms are clearly written into the order. This is also why some Chinese suppliers are not fully enthusiastic about Trade Assurance — they are concerned about malicious refund requests or unreasonable claims.

Alibaba Trade Assurance dispute

That said, Alibaba is a B2B platform, so the after-sales process works very differently from B2C platforms like Amazon, where refunds are often issued almost instantly. Disputes are handled more like formal business cases. Both sides submit evidence, and the platform reviews the case step by step — so it’s normal for the process to take several weeks, or up to a month.

Many negative experiences shared on Reddit come from small, personal-use purchases, such as buying one or two lawn mowers that run into customs issues or don’t fully match expectations after delivery. In these cases, buyers often expect B2C-style after-sales treatment, which leads to frustration when the outcome feels different from what they’re used to.

What’s new: Alibaba Guaranteed (since 2024)

Alibaba Guaranteed is an upgraded version of Trade Assurance, with logistics and after-sales handled directly by Alibaba, but it’s not a one-size-fits-all solution.

  • Applies to standardized RTS (Ready-to-Ship) products. Currently available in six markets, not globally.
  • For custom products, disputes still require evidence from both buyers and sellers, and the overall dispute resolution process has not fundamentally changed.

“Verified Supplier” = a membership badge, not quality assurance.

On Alibaba, most suppliers you see are “Verified Suppliers.” But Verified ≠ quality ≠ reliability.

The badge simply means the supplier paid an annual fee and passed a basic third-party check. It’s a membership label — not a quality filter. So don’t assume a supplier is reliable just because they’re verified.

Unrealistically low prices are often the first red flag.

On Alibaba, prices that look too good to be true usually mean the cost shows up somewhere else later. For example:

Cheaper materials or downgraded manufacturing processes — in some cases, it’s not even the same product anymore.

Inflated shipping costs

Makes the money back through shipping. New buyers often fall into this trap, while experienced buyers focus on the total landed cost, not just the unit price.

Low initial quote, price increases later

A very low price to make you pay a deposit, but later the supplier asks for more money with reasons like fabric cost went up, labor is more expensive, or increased production complexity.

Branded products at very low prices

For example, cheap MacBooks, DJI drones, TCL TVs, Surron e-bikes, or even luxury cars, are usually unauthorized and are difficult to clear customs.

Viral products with IP risks

Popular products on Amazon or TikTok that appear at unusually low prices on Alibaba are especially prone to IP infringement risks.

Suppliers focus on production and sales, while IP checks are typically left to buyers — this isn’t about taking the supplier’s side. And it’s not just first-time sellers; even some mid-sized and experienced buyers occasionally get caught by IP issues.

Payment safety – avoid off-platform payments.

Go through trade assurance and stick to paying on Alibaba.

PayPal and credit cards are commonly used for small orders.

Even though there’s about a 2.9% transaction fee, credit cards and PayPal still offer chargeback protection if Alibaba’s dispute process takes time.

Note that many Chinese suppliers are reluctant to accept PayPal for orders over $500, as its 180-day buyer protection can expose them to malicious chargebacks.

T/T is more common for large orders due to lower transaction fees.

Some suppliers may ask you to transfer money directly to their personal bank account, Alipay, or other private accounts, sometimes even offering a 2% discount as an incentive.

Make sure to pay on Alibaba. Otherwise, if issues come up, Alibaba can’t intervene. Supplier responses may slow down, and in some cases, communication can stop altogether — making disputes far more difficult to resolve.

How to avoid bulk order quality issues?

Quality issues are a common headache for many buyers. But if the process is handled correctly, the risk can be greatly reduced.

1. Be strict when approving samples

Checking samples shouldn’t be based on photos or videos alone, thinking “close enough.” You need to clearly confirm the appearance, materials, structure, and functions.

Taking plush toys for example, it’s not just about size and overall look. You should also confirm the materials and workmanship, such as PP cotton filling, an embroidered logo, the plush fabric, embroidered facial features, and color matched to a Pantone code.

The approved sample is the standard for mass production and product inspection.

2. Monitor key stages during production

Approving the sample doesn’t mean the job is done. Especially for customization and new product development projects, small issues are almost unavoidable during mass production. The earlier a problem is identified, the lower the cost to fix it. Issues that can be corrected at the raw material or semi-finished stage should never be left until the final product stage.

3. Inspect before shipping from China

Always inspect your goods in China, regardless of order size. If defects exceed the acceptable level, you can request rework or compensation based on the quality terms agreed in the contract.

How to identify a reliable supplier?

Initial screening checklist

  • Top-ranked suppliers on Alibaba are ads, not quality rankings.
  • Prioritize suppliers with a long operating history, ideally 5+ years.
  • Choose suppliers located in industrial clusters, where pricing is usually more competitive.
  • Check supplier profiles, product certificates, and reviews — but use them as references only, not decision-making criteria.

Communicate more and test with small orders

Compare and communicate with multiple suppliers, then place a small test order with the best option to see whether they can meet your requirements.

  • Always keep 1–2 backup suppliers.

During this process, evaluate the supplier carefully on the following points:

Product expertise

Do they truly understand your product and requirements?

Communication efficiency and attitude

Do they respond in a timely manner? Are their answers addressing your actual questions, rather than giving generic “yes, OK” replies?

Do they take responsibility when things go wrong?

In practice, suppliers handle issues very differently when problems come up.

For example, when logistics are arranged by the supplier, a responsible one will proactively communicate and help resolve delays or damage. If you’re immediately asked to deal with the logistics company yourself, it’s a sign to reconsider the partnership and switch to your backup suppliers.

Suppliers who take responsibility can save you a lot in the long run.

In short, Alibaba is a legitimate and generally secure B2B platform. Most negative reviews you see online are tied to specific scenarios, not fundamental platform security problems, and shouldn’t be a source of unnecessary worry.

Honestly, finding a reliable supplier is a process of constant comparison and small test orders — there’s no shortcut.

Even experienced buyers run into issues with supplier management, quality consistency, lead times, or customization flexibility — not to mention first-time buyers on Alibaba.

Most buyers use Trade Assurance for protection when sourcing products on Alibaba. Alibaba has already explained what Trade Assurance is so I won’t go into detail here. 

However, there are some common issues buyers face when using Trade Assurance but may not find answers on Alibaba. I’m here to break it all down for you.

Is there a trade assurance fee?

Alibaba claims that Trade Assurance service is free for buyers.

For Chinese suppliers from Mainland China, Hong Kong, and Taiwan, the service is free to activate. However, suppliers must pay a transaction fee, typically 2%-3% of each transaction, with a cap of $100-$350. This depends on whether the supplier is using the basic or premium Trade Assurance service.

In practice, most Chinese suppliers on Alibaba support Trade Assurance, but they usually add the 2%-3% fee to the product price, so the buyer ends up paying for it.

What to know when creating a trade assurance order?

If you’re buying ready-to-ship products, you can draft the Trade Assurance order yourself. For customized products, you’ll need to ask the supplier to draft it.

Make sure product details, quality requirements, shipping terms, dispute resolution, etc., are specific and clear in the order system and purchase contract. These can serve as official legal documents in case of any disputes.

Product specifications and quality.

Make your product customization and quality requirements clear in your order contract. If possible, attach design files—especially for complex designs. 

Here are some important points and examples.

Color: For example, instead of saying “red,” use Pantone color 186C. If the color doesn’t match what you ordered, you can easily compare it with the Pantone reference during a dispute.

Size: In the case of a wine tumbler, specify the exact dimensions, like 8.8*8.8*13 cm. This way, suppliers know exactly what to deliver.

Material: State precisely what material you need, like “100% stainless steel”. You can also mention that you’ll have a third party do material testing to ensure quality.

Weight: Specify the exact weight, like “217g,” and include an acceptable weight range, such as “215g-219g.

Quantity: Specify the exact quantity you want for each product style.

Quality: Define how you’ll assess quality issues, referencing the final confirmed sample and third-party inspection results.

2. Packaging details

Clearly state packaging material, carton size, labeling requirements, logo design, whether to use a pallet or not, etc.

3. Shipping

Specify shipping methods, dispatch date, trade terms, shipping address, etc.

For trade assurance orders, you can pay on Alibaba using PayPal, Credit card, Apple Pay, Google Pay, Wire transfer (T/T), and Letters of Credit (L/C).

PayPal, Credit Card, Apple Pay, and Google Pay are common in:

  • Multi-currency transactions
  • Payment processing fee: 2.99% of the transaction amount
  • Payment limit: Up to $12,000 per transaction
  • Processing time: 1-2 hours

PayPal is recommended for orders under $500.

Using PayPal is is common, especially for orders under $500. However, for larger orders, many Chinese suppliers are not willing to accept it because of PayPal’s 180-day refund protection, which some dishonest buyers might exploit to file false claims and chargebacks.

Credit Card: Visa or MasterCard

Credit card payments are common, but they’re not ideal for large orders because of the high transaction fees—2.99% of the transaction amount.

T/T is commonly used for large orders.

T/T is a popular choice for large orders due to its low transaction fee—usually around USD 40 and no payment limit. It also supports multiple currencies such as EUR, USD, GBP, and RMB.

Letters of Credit (L/C)

In practice, L/C is used less often. It has strict document requirements, and the transaction fees charged by banks are high. Therefore, L/C is more suitable for large orders rather than small ones. Additionally, L/C is usually not available for high-risk countries like Iran, North Korea, Syria, Cuba, etc.

The payment arrival time for L/C is similar to that of T/T. However, the overall process of L/C takes longer than T/T due to more steps involved. If everything goes smoothly, it typically takes 1-2 weeks for a Sight L/C. For Usance L/C, the process can take longer, usually 1-3 months.

Make your payments to the virtual CITIBANK account—automatically created for each Trade Assurance order. Any offline methods can’t protect your payment, and you’ll likely get scammed.

Always check your order’s payment page for the most up-to-date options. Payment methods may change over time and can vary by country or region. For example,

  • Boleto payments are no longer available for Alibaba Trade Assurance orders since September 11, 2023.
  • Western Union is not available for US buyers on orders under $2,500 since June 30, 2023.

How to control product quality?

No matter the order size, always inspect the products before shipping from China. You can hire third-party quality inspection companies or sourcing companies to inspect the products.

If any issues are found, negotiate solutions with the supplier. If you can’t reach an agreement, the inspection report can serve as evidence to file a dispute on Alibaba, so you won’t be left in a passive position.

How to open a dispute? Full refund?

If, unfortunately, the goods received do not meet the specified requirements, buyers can open a dispute with Alibaba and request a refund within 30 days from the delivery date. This 30-day claim period applies to Level 3 or within buyers. If you’re a Level 4 or 5 buyer, the claim period will be extended to 60 days.  

Once a dispute is submitted, the supplier has 5 days to respond and work towards a solution. If there’s no response, you can escalate the issue to Alibaba’s dispute team. Alibaba will review the evidence from both you and the supplier. Only with powerful evidence can Alibaba judge that the supplier did not comply with contract terms and take responsibility.

Make sure to keep these important documents as evidence:

  • A signed copy of a purchase contract or invoice.
  • Documents related to the product specifications.
  • Documents related to design drawings or files. 
  • A copy of the inspection report.
  • A copy of all related emails or communication records on Alibaba/WhatsApp (e.g. texts, videos, etc.).
  • A signed copy of the transaction receipt.
  • Any pictures or videos of defective goods.

For buyers, while Trade Assurance offers an extra layer of protection, the key is to work with a reliable supplier. Otherwise, even if you eventually get a refund, the time spent resolving the dispute could cost you an additional 30 days of back-and-forth, disrupting your sales. Plus, there’s always a chance that you may not get refunded as expected.

Alibaba is the go-to platform for international buyers to source Chinese suppliers. But “how to buy from Alibaba effectively and safely” has always been a challenge.

In today’s guide, I study and analyze the top 8 questions faced by many first-time buyers, each with practical solutions.

1. How to efficiently select and evaluate suppliers?

Searching by product keywords or using the RFQ, you’ll easily get a list of suppliers. The real challenge lies in how to get the right one for your needs. Yes, we often say, a good supplier isn’t necessarily the cheapest or the biggest—it’s the one willing to work with you and actively solve problems, never letting you alone. There’s no special trick here—just talk more and test them with small orders.

Takeaway: Verified suppliers on Alibaba are just paid members, not 100% reliable.

Ask more, talk more.

Talk about your product, shipping costs, packaging, and any others you can think of. Don’t worry about asking too much and then the supplier ignoring you. If they’re not responsive, just move on to another one. If a supplier isn’t willing to talk to you from the start, it means they don’t care about you. Don’t count on them getting better later.

A good supplier will carefully consider your needs, provide practical solutions, correct your misconceptions, and make it clear what you’re spending on, giving you a strong sense of security. However, a poor response will generally deliver nothing, due to a lack of product knowledge, and also reflects poor communication skills, as shown in the example below.

Enhance evaluation with samples and trial orders.

A supplier’s profile info can be faked, and they can pretend to be professional in conversations. Only true collaboration is the real test. During the sampling process, you can observe whether they quickly understand your requirements, know the product and craftsmanship, and communicate with you patiently.

A trial order gives you a full view of the sourcing process from China. You are likely to encounter unexpected issues, such as defects, shipping delays, etc. This is where you can see a supplier’s responsibility—whether they resolve issues or just shift the blame.

These soft strengths, I believe, are the key to a stable supply chain. After all, many suppliers sell similar products, but finding one with these good qualities is rare. It’s much like finding a boyfriend or girlfriend—not necessarily the most beautiful or the richest, but someone who understands you, cares about you, and makes you feel relaxed and happy—a well-rounded person who truly suits you.

2. What if my MOQ is low and fails to get attention?

Alibaba MOQ varies depending on the product type, value, craftsmanship, and customization complexity.

Product value

For low-value products, the custom MOQ is high. Due to minimal profit—like a straw generating only $0.0001 in profit—suppliers can only rely on bulk production and wholesale to earn money.

Regarding high-value products, suppliers are more flexible with lower MOQs. For example, massage chairs and beauty devices can be purchased even as a single unit because of the higher profit margins.

Custom products and requirements

Simple product customizations, like sofas with basic wood frames, padding, and coverings, start with just one piece. For standard kitchen equipment with logo printing, 200-300 units are acceptable. For more complex customizations involving molding, MOQ typically starts at 1,000 units.

Product craftsmanship

To customize seamless underwear, yoga pants, and sweaters, the MOQ is high as a production line is always accompanied by thousands of pieces. Customizing just 100 pieces is impossible—you’d have to choose from existing styles instead.

Remember that suppliers need a profit margin to do business with you. If the MOQ is too low, even the best negotiation skills won’t get you there.

In case your order quantity is slightly below the MOQ, there’s still a chance to convince the supplier to work with you. Some suppliers might lower the MOQ, especially for your first test order, if they see potential in your business.

So, for small custom orders, don’t waste time finding direct factories. Trading companies is your right option. With a small MOQ, you’re unlikely to get the lowest price, so you need to strike a balance.

Always ask multiple suppliers. Large suppliers may not take your order, but smaller ones might be more flexible. Especially for simple items, small factories or trading companies often have the advantage. 

3. What's the safest way to pay on Alibaba?

The first thing that comes to mind is using PayPal. It is safe, as you can request a refund if there are issues like poor quality. PayPal is usually recommended for orders under $500, as most Chinese suppliers won’t accept it for large orders due to the 180-day refund protection, which some dishonest buyers might exploit to file false claims.

Large orders are usually handled through Trade Assurance. It’s a free service offered by Alibaba to protect buyers by holding payments until you receive the goods and confirm the quality. If there’s a problem, you can open a dispute, and Alibaba will step in to mediate. For trade assurance orders, you have to pay on Alibaba using 6 methods:

  • Online Transfer (for large orders)
  • Credit card (e.g. Visa, Master Card)
  • Wire transfer (T/T)
  • PayPal
  • Apple Pay
  • Google Pay 

Any offline methods cannot protect your payment and you’re likely to get scammed.

Getting a refund can be tricky and time-consuming. You need to provide sufficient, strong evidence, as Alibaba makes fair judgments based on proof from both buyers and sellers.

For payments and product details, always use email. While channels like WeChat or WhatsApp are convenient, email is best for important matters. These emails can be documented as clear records for future reference and evidence in case of disputes.

4. How to ensure product quality?

For regular quality inspections, you can find third-party providers, such as Alibaba-recommended Bureau Veritas, CCIC (China Certification & Inspection Group), and SGS, or Google search results like V-Trust, QIMA, etc. Usually, the inspection costs $200-300 per person a day. For in-depth inspections, go with China Product Agent.

Third-party inspections

Adopt AQL sampling inspection. In practice, the biggest issue with third-party inspections is their unfamiliarity with product knowledge, so they can only perform mechanical checks based on client instructions or list anything they think is an issue in the inspection report. And, they often exaggerate the problems, as they hope the inspection will fail so you’ll pay them again for a re-inspection.

For defective products, working out solutions with the supplier isn’t part of a third-party inspector’s service. Some might pass your message to the supplier, but they won’t stick around to make sure the factory actually fixes the problems.

Please note: if you decide to use the supplier’s forwarder, usually you can inquire CIF price; if you already have your forwarder, remember to ask the supplier to quote you the FOB price

Alibaba also provides a list of freight forwarders. Just input your shipping details, and you’ll get plenty of options, similar to searching for suppliers. If you’re interested in comparing prices, you can request quotes from them.

However, I recommend beginners use the product supplier’s forwarder. Lacking experience, the forwarders you find yourself may not be cheaper or more reliable than your supplier’s. After all, if there’s a shipping delay, it’s much easier to deal with your supplier directly. Especially if the goods are damaged during transit, your supplier can step in and help coordinate a resolution.

Keep in mind: For mainstream routes like Europe and the US, customs clearance is easy to handle, and plenty of freight forwarders to choose from. However, some countries, like Mexico, require freight forwarders with strong customs clearance capabilities. In such cases, it’s better to have your own forwarder.

6. How to order from Alibaba for personal use?

If buying just 1-2 single items for personal use,

You can order samples and pay for shipping. It’s usually via international express, which can be expensive. Some suppliers are unwilling to do DDP shipping for one unit, so you need to handle import customs clearance yourself.

In this case, AliExpress is more suitable, as it’s mainly for retail.

If buying small-quantity, wide-variety types of products for personal use,

For example, you want furniture and decorative materials for a new home project. Alibaba is a viable option.

But keep in mind: this requires much time and effort. You’ll need to find a separate supplier for each product type, and shipping can be a hassle too. Hiring China Product Agent is a smart decision.

Make sure the packaging supplier isn’t too far from your product supplier to avoid high transport costs.

Have preferred styles and some basic packaging concepts for efficient communication. Most Chinese packaging suppliers just simply mention offering services like color, size, box thickness, logo, and pattern printing, without providing detailed info or pictures.

Over the past 10 years of dealing with Chinese suppliers, I’d like to share useful experiences to address these common concerns of beginners.

Are there manufacturers on Alibaba?

Yes, there are manufacturers on Alibaba. But more than 90% are trading companies, not real factories. Why?

In China, the number of small factories far exceeds that of large ones. However, many small factories can’t speak English and don’t understand marketing. To do business on Alibaba, an international platform, suppliers need to have some knowledge of English, Alibaba SEO, and marketing strategies.

For small factories, hiring and building an English sales and marketing team is costly and challenging. Hiring a full-time English salesperson costs at least $7,000 per year. If the employee doesn’t perform well, factories can’t get orders and the money is wasted. Therefore, very few small factories publish product information on Alibaba. They usually work with domestic trading companies, who are good at English and more skilled in Alibaba marketing.

Still, many people want to know how to find genuine manufacturers on Alibaba. Here are some tips to help you make an initial judgment and screening.

How to find an actual manufacturer on Alibaba?

Look for the supplier’s name and address

When searching for “X hose” on Alibaba, you will discover that most suppliers are concentrated in Zhejiang, followed by Guangdong. This means that X hose is produced in these two industrial clusters. It is easy to find a real manufacturer here.

Additionally, manufacturers often name themselves based on the product, raw materials, and production techniques. For example, with “X hose”:

  • Manufacturers’ names typically include words like hose production, manufacturing, processing, or raw materials like plastic (mainly PVC) or rubber.
  • If you find suppliers’ names include words like E-commerce or trade, they are typically trading companies.

Check the supplier’s categories

Manufacturers specialize in one product category, while trading companies usually sell many different types of products.

Still, use “X hose” as an example. If you find “XX Fitness Products Co., Ltd.” or “Arts & Crafts Co., Ltd.” whose main products are fitness supplies or crafts, you can judge that they are not factories. Instead, they are trading companies that have just uploaded the sale of magic hose on Alibaba to supply this product to a few customers in a year.

Similarly, if you’re looking for LED light manufacturers, real factories typically produce only one or a few similar types of LED lamps. The above methods are based on suppliers’ profiles and self-reports, which can only initially distinguish manufacturers from trading companies.

For manufacturers that look good after your inquiry and communication, you can video call them to check out the factory situation. If your order value is several thousand or ten thousand dollars or more, I strongly recommend an on-site factory audit before placing a large order. This will confirm whether the manufacturer’s actual situation matches what they have claimed, especially their production capacity and actual scale, to ensure they can fulfill your order.

For example, we once audited a factory in Shanghai that claimed to produce LED lights. We found that it was actually a trading company. Later, we conducted an on-site inspection of a real factory in Zhongshan and discovered that the factory’s actual scale was not as large as shown in the promotional pictures.

Any practical tips on how to find good suppliers on Alibaba?

Good suppliers do not necessarily mean finding a real factory. Usually, startups and small businesses with $1,000-$2,000 budgets for small-batch customization are not suitable for buying directly from manufacturers. Because factories have a minimum order quantity (MOQ) of $2,000-$3,000/type. Factories also prioritize large orders, so you must wait a long time for your turn. For small MOQ custom orders, factories generally are not willing to cooperate.

Most trading companies can make products according to your requirements, even if your MOQ is small. They have access to many factory resources, including both large and small factories, making them more flexible than manufacturers.

Therefore, good suppliers should have the following features:

  • Take you seriously and actively cooperate with your custom requirements.
  • To be professional in your target products.

Talk with suppliers about products to assess their expertise and cooperation.

Talk to suppliers about product materials, production techniques, and other details, especially for complex product customization. From their responses, you can initially judge if they are professional in your product. An experienced supplier not only answers promptly but also supplements your problems and provides professional suggestions based on your situation.

Taking Xhose as an example, you can ask the supplier what’s the price for 50FT, 75FT, 100FT, and 10FT hose, the width and weight of the textile, rubber materials, specifications related to rubber, connecting accessories available, maximum water pressure and so on. Inexperienced suppliers are not able to answer all questions well, due to a lack of product knowledge and little or no experience in selling the product.

For another example, among wide-type glass bottles, such as cosmetic glass bottles, candle holders, drinking glasses, whiskey tumblers, etc., each type involves different production processes, machine types, and production areas. Suppliers with limited knowledge and customization experience can’t accurately understand your actual demand, and their quotes may be too high or too low.

In short, extensive product questions can help you eliminate unprofessional and less cooperative suppliers.

Compare quotes and samples to choose a suitable supplier for a test order.

Ask suppliers for quotes as many as possible. Then compare them to know the product’s price range. Avoid being misled by high or low prices. Pay special attention to very low quotes, such as prices 15% lower, as the product quality might be poor and not meet your requirements. If the price is 5% lower, there are indeed some suppliers who might quote that low. Usually, these are very small trading companies willing to narrow their profits to receive orders.

After filtering out the suppliers with whom communication and quotes seem okay, you can order a few samples to visually check the product quality and overall effects. Especially with complex products like jewelry, different materials or processing techniques can lead to different quotes. Examine samples at different prices and choose the one that fits your budget and requirements. Also, remember to have an extra 1-2 suppliers as backups.

What does Verified Supplier Mean on Alibaba?

Verified Supplier is a paid Alibaba membership. Suppliers who have paid the fee need to go through independent third-party inspection (e.g. SGS) to be verified members. If certified, you will see “TrustPass Profile” plus a list of verified items, as shown in the image below.

Verified suppliers enjoy more exposure than free or gold members. So, many suppliers are willing to pay for this member label. And since COVID-19 stopped offline exhibitions, more suppliers pay for it to get more business chances. Involved in the cut-throat competition, should I do that? Yes, of course. But remember to jump from a fixed mindset: most of the suppliers are verified doesn’t mean they are 100% creditable.

Are Alibaba Verified Suppliers Reliable? Can Buyers Trust Them? (Practical Tips Covered)

As stated by Alibaba, verified suppliers are authenticated by a internationally renowned third party, such as SGS, Intertek, and TUV. And they go through in-depth certification.
Besides main product certifications, comprehensive verification of enterprise capability (e.g. productivity and R&D) and a 3-minute factory audit video are included as well. Once verified, the video will be marked with Alibaba + SGS, as shown in image below.

My perspective: 

You can see the cooperative factory from the video. Note I say “cooperation”, which means the plant is not necessarily owned by the supplier. For example, if I want to open an Alibaba store, I shoot a video of my cooperative factory and submit it for review. Generally, the video can pass the certification by a third-party inspector. In other words, the supplier’s real situations are not checked in detail, such as production lines and equipment. 

So, never judge a supplier as a direct factory once you watch the video. Sometimes even when you found a legit factory on Alibaba, you still might be working through a middleman. That is because traders sometimes can also act as a manufacturer’s dealer, as long as they can obtain the authority. That is easy to do and a win-win for both parties. Alibaba can’t really check whether they have cooperation or not.

Becoming a verified supplier is not as difficult as you think. Registering a company is much easier at present. On the other hand, among the 3 business types of verified suppliers, the trading company is the easiest. A couple of people setting up a trading company and renting an office can be a “verified supplier” if they pay the fees. By spending marketing expenses, suppliers get more business chances. While for Alibaba, it is part of the income.

To conclude, Verified Supplier is just a paid membership, without any relations to the supplier’s quality assurance. You can not simply think all is well after finding a verified supplier.

My perspective: 

So as for membership benefits, Chinese verified suppliers enjoy more than gold suppliers. That’s just as it should be. After all, the price has almost tripled. Besides more showcases, verified suppliers can get accurate traffic and more marketing data. Alibaba offers such benefits to help them rank better.

Essentially, the verified or gold label is obtainable through payment. Thus, sourcing from gold or verified suppliers does not mean everything will be fine. 

FAQ - Who Can Become Alibaba Gold Suppliers?

All registered companies with business licenses have the chance as long as they meet Alibaba membership registration criteria. Most gold suppliers are Chinese companies, but it doesn’t mean only Chinese businesses can do that. Firms in Vietnam, India, and other countries could also make it if only they passed the authentication and verification.

By the way, nowadays registering a company is much easier. Three of my friends set up a trading company and rented an office. And their company has been certified as a “gold supplier” after paying the fee.

For the shipping method on Alibaba, you can negotiate with suppliers about the shipping rates. The shipping fee will vary from different shipping methods. There are mainly 3 types: air freight, express, and sea shipping.

MOQ(Minimum Order Quantity)

Suppliers on Alibaba are mainly manufacturers and traders, so they usually set MOQ at $500 to ensure the profit margin and cover the cost of production. But there are some trading companies on Alibaba or if the manufacturer has existing products, they may set a small MOQ or even supports one-piece order.

In addition, MOQ varies from different product categories. Usually, those products with high value will have a relatively low MOQ on Alibaba and other supplier websites.

The majority of the suppliers on AliExpress are resellers or trading companies, and they sell ready-made products, so they usually don’t have requirements for MOQ.

Dropship

Many suppliers on Alibaba are manufacturers, as they need to undertake the production cost, they usually won’t support dropshipping order. But there are also some trade companies on Alibaba. For such suppliers, they may support dropshipping if they have existing styles through negotiation.

AliExpress is a retail platform, and most suppliers on AliExpress are trading companies and they sell ready-made products, they will support dropshipping.

There are two common dropshipping order modes for trading companies no matter on Alibaba or AliExpress: firstly, you can buy one at one time from suppliers and they send the product to your customer. Secondly, you can buy in bulk at first from supplier, but the supplier will help you store the products in their warehouse. Then they will send it to your customer when you receive an order. Of course, they will charge you extra fees like warehousing fee and handling fee.

Custom Products

If you want to custom products, Alibaba will be better. You can find many factories on it, most of them have a professional design team. And you can tell them your idea directly.

For example, if you want to custom a kind of novel jewellery, you can tell them your demands and idea. Then they will help you draw a design manuscript and produce it. And if you want to print your private label on the product, manufacturers have the capacity to complete it.

While on AliExpress, although you can find a trading company to help you custom product, the process will be more complicated. Trading company will act as an intermediary to help you convey your idea to the factory. Under such circumstance, you can’t communicate with the factory directly, it may turn out that the product can’t be manufactured well according to your needs.

However, with the development of business, you can try buying in bulk at one time at first and store them in suppliers’ warehouses. Then let your supplier send it to your customer when you receive an order. Under such circumstances, I advise you to buy from Alibaba, as you can buy products at a more competitive price.
