For small businesses, the hard part isn’t finding private label suppliers. There are thousands of them on wholesale websites. The hard part is finding one that’s actually willing to work with your budget, order size, and customization needs.

When your order is small, you don’t have much bargaining power. MOQs feel too high, custom prices go up fast, replies can get slower, and bigger customers often get priority when factories are busy.

And honestly, it makes sense from the factory’s side too. Small custom orders still mean lots of back-and-forth, samples, changes, and little details, but there isn’t much money in them. So many factories would rather spend their time on bigger buyers.

That doesn’t mean the right supplier isn’t out there. It just means you’ll usually need more time to search, talk, compare, and go through a bit of back-and-forth before you find one that’s really willing to work with you.

What small-order private labeling really looks like?

Customizing packaging and adding a logo

Most small businesses start private labeling with an existing product. The product MOQ itself is often manageable. The real trouble usually starts when you ask for custom packaging or a logo.

Custom packaging may need to be made by a separate packaging supplier, which means extra communication, artwork, samples, and repacking. For a small order, some factories simply don’t want to spend that much time coordinating it.

Logo customization can be tricky too. The MOQ and cost depend on the printing method, material, number of colors, and where the logo goes. A simple sticker may be easy, while screen printing, embroidery, or a custom box can quickly push the MOQ and cost up.

This is where many small buyers get stuck: the product itself is affordable, but the branding around it isn’t always as small-order-friendly.

Changing color and material

Changing the color or material is another common way to make an existing product feel more like your own. It works best with relatively simple products like socks, cushions, tote bags, mugs, and other everyday items.

Using colors and materials the factory already works with is usually easiest. A custom option may require materials from another supplier, which brings its own MOQ. For example, textiles may have minimum fabric or dyeing quantities, while plastic products may require a minimum batch for a custom color. You’ll also usually need a physical sample, since the final color can look different from a screen or color chart.

For more complex products, especially electronics, changing materials can affect the structure, performance, tooling, or testing. At that point, it’s often more than a simple private label change.

Creating product bundles

Bundling existing products is a relatively low-cost way to make your offer feel different without developing something new from scratch. We’ve helped clients create kitchen utensil sets, cleaning kits, garden sets, toy bundles, and more.

If all the items come from one supplier, it’s usually straightforward. But once different factories are involved, there’s much more to manage — supplier coordination, production schedules, quality checks, pricing, and custom packaging.

How old hands make private label projects work?

There’s no shortcut to finding the right private label supplier. Different products come with different challenges, and sometimes finding the right factory simply takes a bit of luck.

Most successful buyers we’ve worked with didn’t find the perfect supplier on their first try. They talked to more factories, compared options, ordered samples, and tested small orders. That’s usually when you find out who can really make the product the way you want — and who is actually willing to work with you when something needs changing.

At the beginning, the lowest price shouldn’t be your first priority. Make sure the supplier can meet your requirements and work through problems with you first. You can negotiate price later as your orders grow.

Finding the right supplier is really a process of trial and error. You try, adjust, and sometimes move on. Over time, that’s how most small businesses find a private label partner they can grow with.

Mark, a young guy from the US, saw a fragranced laundry detergent selling for around $20 on Amazon. He saw an opportunity and asked us how much it would cost to make in China. We found a factory in Lishui with mature formulas. They told us most detergents use a similar base, with the main differences being fragrance and fabric care. So they could formulate the product Mark wanted for only $0.60 a bottle, starting from just 1,000. At that price, he felt it was worth trying.

Another US client wanted to open a shoe cleaning shop because the business was popular in his area. He checked with local suppliers, but the prices were high, and for a new shop, that was a lot to put in upfront. So he came to us to source the equipment from China. If you run a small business and want to build your own brand, private label can be a good way to get started without developing a product completely from scratch. But choosing the right product and finding the right supplier can be harder than it looks, especially if this is your first time sourcing from China. Below, I’ll share some practical tips that may help.

What are private label products?

Private label products are made by a manufacturer and sold under your own brand name. If you run a small business, you don’t need to overcomplicate things at the beginning. A lot of brands start with an existing product and make small changes, such as adding their logo, customizing the packaging, or adjusting colors, sizes, and other details. Developing a product from scratch is possible, but it usually takes more time and money, and comes with more risks. Around 80% of the e-commerce sellers we’ve worked with have started this way.

What private label products are suitable for small business?

There’s no way to guarantee 100% that you’ll find the right private label product. Every business has a different budget, product selection strategy, and supplier resources, so what works for one may not work for another. Here are the things our small business clients usually look at when choosing products.

1. Choose products that are easy to ship and store

Small and lightweight products are usually easier to control shipping costs and won’t take up too much storage space. You also need to consider the risk of damage during shipping. For example, a small but fragile glass product may not be a good choice, as it can lead to shipping losses and extra costs.

2. Focus on everyday products with consistent demand

Customers need everyday products year-round, so demand tends to be more stable. This also gives you more time to sell your inventory. Seasonal products, however, only sell during certain holidays or seasons, and once that period ends, you may be left with unsold inventory.

3. Don’t start with too many SKUs

Beginners tend to start with too many SKUs because they want to meet more customer needs. But this can spread your budget and inventory too thin, making it harder to identify which products have real potential. For example, if you sell shoes, you don’t need to stock every size and color. I’d suggest starting with a few options, seeing what sells, and then adding more based on customer feedback.

4. Watch the MOQ and start small

Pay attention to the MOQ when choosing a product. If the MOQ is high, you may have to spend a lot of money on your first order. If it doesn’t sell as expected, that money can be tied up in unsold stock. That’s why I’d suggest looking for suppliers with a lower MOQ when you’re just starting out.

Don’t simply trust a Chinese factory when they say a product has no patent issues. They may not know, or their clients may have never had any problems with it. Patent issues can be complicated, and protection varies by country. No patent in China doesn’t mean no risk in the US, Europe, or other markets. I’d suggest having a local lawyer check the relevant patents. You may not get much attention as a small business, but once your product takes off, you could face a takedown or even a patent dispute.

Real private label examples from our clients

Our US client had a $500 budget to start a nail polish brand and wanted to make a 3-in-1 cat-eye nail polish. We found a factory in Yiwu with 12 years of production experience. The factory can change the formula based on his needs, like the color and consistency. He could also pick a product the factory already had and put his own logo on it. MOQ was only 500 bottles, and each bottle cost around $0.4.

In large companies—especially in electronics manufacturing—OEM and ODM are often used to distinguish who leads product design and technology, who owns the brand and patents, and who is responsible for manufacturing. 

Typical OEM examples include:

  • Apple and Nintendo handle product design and branding, while Foxconn is responsible for manufacturing.
  • BMW leads vehicle design and branding, while components such as engines and transmissions are produced by different suppliers based on its specifications.

Most small and mid-sized business owners don’t have a full product R&D setup or an in-house team. Complex technical patents are rarely part of their day-to-day work. Most of the time, they just say:

“I want to make some changes based on an existing product—logo, colors, materials, etc. Can you help with that?”

If you’re a large enterprise, the Apple or Nintendo model is what you need to understand. 

But if you’re a small or mid-sized business buyer, this article is worth reading—it focuses on how OEM and ODM actually work when sourcing from China. Here’s what we’ll cover:

What is ODM (Original Design Manufacturer)?

Simply put, ODM means selecting an existing product from a manufacturer and making small changes on top of it—such as adding your logo, applying custom patterns, changing colors or materials, or bundling products with customized packaging.

The core product structure and functions are already well-developed by the factory, so there’s no major redesign and no need to start from scratch. These are often called private label.

This approach requires less upfront investment, moves faster, and keeps trial-and-error costs low. It’s a good fit for new sellers or small and mid-sized businesses looking to differentiate products and test the market with a limited budget. This is also how many of the Amazon and Shopify sellers we work with get started.

What is OEM (Original Equipment Manufacturer)?

With OEM, you typically make major changes to existing products or develop a new product from scratch. It often involves multiple rounds of sampling, testing, and revisions to validate the design and feasibility.

Because OEM involves deeper product customization and development, the upfront investment is higher, communication and confirmation steps are more complex, and the overall timeline is longer.

As a result, OEM is generally better suited for businesses with stable sales, a solid understanding of their market, and sufficient budget, who are looking to expand or upgrade their product lines. They have more room for trial and error, have done solid market research, and develop products around clear target customer needs to solve real problems.

For example, we once helped a client develop a glass formula-mixing bottle. The project involved 7 different manufacturers, covering the bottle cap, straw, bottle body, rubber sealing ring, and other components. Because each part needed separate confirmation and repeated coordination, the whole process—from the first sample to the final approved version—took nearly a year.

OEM vs ODM: MOQ, cost, and lead time in China

Typical ODM customization mainly involves packaging or adding logos and patterns to existing products.

  • MOQ is usually 300–500 pcs. For structurally simple products—such as printing logos on in-stock hoodies or leather bags—the MOQ can be as low as 50–100 pcs.
  • For private label or packaging projects, sampling typically takes 5–7 days. Once the sample is approved, mass production can start immediately, which makes the overall timeline much faster.

In contrast, OEM projects require higher upfront investment and longer lead times.

This is because when you make significant changes to a product’s structure or functionality, there are often no existing molds that can be used. In such cases, factories need to develop private molds specifically for your product.

Mold development typically takes around one month, and tooling costs are not cheap. Taking a seemingly simple toy for example, a plastic part molding costs around $2,000.

If a product involves multiple plastic parts that each require separate molds, tooling costs add up quickly, significantly increasing both the overall project budget and development timeline.

How to find the right OEM / ODM suppliers in China?

Why B2B platforms are not enough?

Many buyers start by sourcing on Alibaba or similar online platforms. There are thousands of Chinese suppliers, and most claim to support OEM / ODM.

However, the real challenge isn’t finding a supplier, but finding one that truly understands your requirements and can turn them into a workable production plan.

Customization capabilities and product quality vary widely from supplier to supplier, which means buyers need to evaluate and manage the risks themselves. For this reason, these platforms are generally better suited for experienced buyers—those with clear requirements, defined specifications, stable order quantities, and typically simpler customization needs.

For new buyers, the process often requires a significant amount of time for comparison and screening, with a steep learning curve. If you only have a rough idea or plan to start with small-batch customization to test the market, it can be difficult to find suppliers that offer both reasonable MOQs and pricing, and communication costs tend to be high.

Even experienced buyers still face challenges—for example, multiple rounds of sampling that fail to meet expectations or quality issues in bulk production.

Do you ever get hit by a sudden idea and think:

This could really work… maybe it could even become a business?

It happens more often than you think — just like these:

But here’s the reality: less than 5% of people actually take action. Not because their idea isn’t good — but because they don’t know where to begin, or they’re worried about manufacturing in China safely, reliably, and without burning money.

Over the years, we’ve helped many Amazon/Shopify sellers improve existing products and supported countless Kickstarter/Indiegogo creators in bringing their ideas to life. And here’s what we’ve discovered along the way:

Most successful products don’t start from scratch — they come from making smart, simple, and doable improvements to products that already work.

In today’s post, I’ll walk you through the entire process in 9 steps, so you’ll know exactly how to develop and manufacture your own unique product in China — with practical tips at every stage.

1. What to prepare before reaching out to manufacturers?

Provide a reference sample or product photos

If you’re making simple changes to an existing product — like adjusting the color, adding a logo, or tweaking small design details — you can:

  • Find photos of similar products and mark the areas you want to change using a drawing tool or text.
  • Or send the physical sample directly to the supplier and add small sticky notes to show each modification clearly.

For this kind of light customization, a reference image plus clear annotations is more than enough to start the communication.

Provide a design sketch or prototype

You can simply sketch your idea on paper — just like many of our clients do.

For products like clothing and other textiles, wooden items, vinyl toys, silicone products, scented candles, and similar categories, a basic design sketch is usually enough. Most factories in China can help turn your sketch into proper design files and hand-make the prototype.

You can also create the initial prototype locally. Taking dog onesies for example, you can find a local seamstress to sew the first version — so you can test the fit, sizing, and pattern before moving forward.

For metal and plastic products, you can work with a local product design firm or hackerspace — they’ll create 3D drawings and help make and refine the prototype until you finalize the materials, structure, functionality, and the final 3D model.

If you can’t find a good option locally — or the price is just too high — you can always work with a team in China instead.

  • Simple plastic parts (3D-printed): start from $10/pc.
  • Basic full plastic toy prototype: around $300.
  • Time for simple projects: 5–7 days, including material prep and design adjustments.

If your design is complex, it’s better to work with a trading company that really understands products and is easy to work with — like China Product Agent. 2. Alibaba or China Product Agent—who’s better for your custom product?

Alibaba is a popular choice for many importers because it covers almost every product category and is easy to use.

For simple products and light customization — like adding a logo or changing the packaging — you’ll find plenty of suppliers. Just compare a few suppliers (at least 3–5), and you’ll quickly get a sense of the price range and quality levels. It’s relatively straightforward.

If you plan to customize a kit, you’ll have to find a separate supplier for every item in it and redo the packaging. Handling all of this on your own isn’t easy, and it’s especially challenging for beginners with little experience.

As for complex customization, things can get tricky.

It’s hard to find someone who truly understands your product idea.

Most people you talk to on Alibaba are just customer service reps — they don’t really work with the product. So they often struggle to understand what you really need, and the communication ends up taking a lot of effort.

It’s also difficult to find suppliers who are willing to go through multiple rounds of design and prototype refinement with you.

Honestly, if a supplier doesn’t see real buying intent, they’ll think you’re just testing the waters and might not order at all after all the changes. Naturally, their time and energy will go to clients who are more certain and more likely to bring real orders.

3. Key considerations when choosing suppliers yourself.

Prices and MOQs

Price matters, of course — but don’t pick a supplier just because they offer the lowest quote. If you’re a startup or testing a new market, the most important thing is finding someone who’s actually willing to take your small order.

Factories usually set the MOQ to spread the cost of raw materials, machine setup & labor.

Close to the MOQ

This is the easiest situation to negotiate. If a factory’s MOQ is 1,000 pcs and the quote is $5/pc, you can say:

We’d like to customize 700–800 pcs first to test the market, and we’re willing to pay a slightly higher unit price. If the results are good, we’ll place more orders later.

This keeps the factory’s profit covered. So they’re naturally willing to take the order.

If a supplier is stubborn and refuses to negotiate, don’t waste time — just switch to another one. There’s always someone willing to work with you.

Far below the MOQ

If your quantity is only about 10–20% of the MOQ, it’s hard to find suppliers to do it. But it’s not impossible — it depends on the product type and whether you’re open to paying a much higher unit price.

Take custom packaging boxes as an example. There are fixed costs like plate-making and printing fees. A factory’s normal MOQ of 2,000 units allows these fixed costs to be spread out evenly.

But if you only order 800 units, all of those fixed costs get allocated to just 800 pieces, so the unit price naturally becomes much higher.

Product quality & communication support

Whether a supplier is reliable, easy to communicate with, and produces good work will almost decide how smoothly your project goes. There’s no complicated method here. Just talk a few times and look at their samples. You’ll quickly feel the difference.

How well do they understand your needs?

Some factories still won’t get the main point no matter how many times you explain it, while some get it right away.

Do they have patience and are they willing to solve small problems with you?

Early-stage development always involves back-and-forth changes. Suppliers willing to work with you on adjustments will save you a lot of time and emotional stress.

How fast and professional are their replies?

If every message takes a full day to get a response, forget it — the cooperation will only get more exhausting over time. Also, pay attention to whether they only say “yes, yes, yes,” or if they can actually give you professional advice.

How good are the samples?

Check the samples to see whether the workmanship is consistent and the details are done well. For example:

  • Plush toys — Are the stitches neat? Any loose threads?
  • Plastic products — Any small dents, scratches, or uneven color? Are the snaps smooth to use?
  • Metal products — Are the edges sharp? Is the coating even?

In short, it should look well-made and feel comfortable to use.

To find a supplier who communicates well and offers acceptable pricing and quality, you need to put in more effort upfront and place a small trial order to see how they perform in real cooperation. That’s the most reliable way.

4. How to protect your product idea from being copied?

Always sign an NNN agreements before sharing your design files

Before sharing your 3D files, structural details, or core ideas with a supplier, make sure they sign NNN agreements first.

However, NNN agreement isn’t a magic shield — it can’t guarantee 100% protection against copying.I f your product sells well, copycats will appear sooner or later. The simpler the product is — especially those that rely on appearance or small creative ideas — the faster others will follow.

Think of things like ambient lights, pet drying mats (basically a bath mat with a new use), or pet ear muffs. Once they get popular, you’ll see tons of similar versions in no time.

Patent protection works best

If your product has clear structural innovation, visual innovation, or involves any new functional or technical design, applying for a patent is the most reliable way to protect it.

The most beginner-friendly option is a Provisional Patent:

  • costs less than $300.
  • much simpler than a full patent.
  • lets you secure priority for your idea.
  • gives you one year to decide whether to upgrade to a full (non-provisional) patent.

During that one year, you can test the market and decide whether your idea is worth filing as a full patent.

Remember, patents only protect you in the countries where you apply. So apply in the countries where you plan to sell — starting with your biggest 1–2 markets is usually the most cost-effective approach.

5. How much will the whole project cost?

When customizing a product, it’s important to have a rough budget in mind. Just ask the supplier for a cost breakdown.

In general, the costs of a custom project can be divided into three stages.

1. Pre-production costs: samples, prototypes, molds & testing

For simple customization, you usually only pay for the sample and its shipping.

For example, if you want a custom hoodie and only need your graphic screen-printed onto a blank hoodie, the sample fee is typically around $10–15.

If you’re getting samples from multiple suppliers, you can ask them to send everything to one supplier or your sourcing agent. They can combine all the samples into a single package and ship it to you — it’s cheaper and much more convenient.

For more complex customization, there are additional costs involved.

Prototype costs.
For example,3D-printing a prototype usually costs anywhere from a few dozen to a few hundred dollars, depending on the product’s complexity.

Molding cost. This varies widely by product type.

  • Silicone molds for scented candle shapes are around $35 per mold.
  • Vinyl toy molds start at $300.
  • Plastic product molds are the most expensive — a single part often starts at $2,000.
  • Metal product molds tend to be slightly cheaper than plastic ones.

Testing fees.
Whenever there are changes to a product’s appearance, materials, structure, or functionality, you’ll need to redo testing and certifications.

2. Bulk production costs

This part is straightforward — once you approve the sample, you place the order and pay for the products. It includes costs of raw materials, mass production, and packaging.

Just ask the supplier for the EXW price, and you’ll know the product cost.

3. QC fees and shipping costs to your location

Buyers usually hire a third-party inspection company or reliable sourcing agents like China Product Agent to inspect finished goods in China.

Shipping costs from the supplier to your location

This depends on the product type, weight, volume, and shipping method.

You only need to ask the supplier for the DDP price — it includes the product cost plus all shipping fees from the factory to your location, plus customs clearance and duties.

A simple way to estimate your shipping cost is:

DDP price – EXW product price ≈ total shipping cost.

6. Make and approve a pre-production sample

The pre-production sample (PP sample) turns your idea into a product that can actually be mass-produced. From the first sample to the final PP sample, you’ll usually go through a few rounds of refinements. The PP sample you approve becomes the standard for both production and QC.

Confirm PP sample materials, structure & production process

The PP sample must be made with the same materials and manufacturing process as the bulk run — unlike a prototype, which often uses cheaper materials and is only meant to show the design concept.

Materials, structure, and workmanship will affect the product’s cost and quality. An experienced supplier will tell you what works best and what helps you save money.

Customize an existing product with your logo or colors

For simple customization like adding logos or changing colors on existing items, you can usually test it yourself. For example, if you print your design on a blank umbrella:

  • Open and close it several times to see if the frame is stable and smooth
  • Check the fabric for small defects
  • Scratch the print lightly with your nail to see if the ink comes off
  • Sprinkle some water to see if the coating or pattern smudges

As for compliance, adding a logo or changing colors doesn’t alter the product’s structure. So as long as suppliers’ original certifications are still valid, they usually remain usable.

Note: Toys, electronics, children’s products, food-contact items, cosmetics, and anything medical-related typically require the necessary product certifications.

Modify the product’s appearance, materials, structure, or function

No matter whether you change the product’s appearance or upgrade its materials, structure, or functionality, you’ll need to redo testing and certifications based on the final approved sample.

If you’re not sure which tests or certifications your product requires, the safest option is to consult a third-party testing agency such as SGS, Intertek. You can also ask your supplier or sourcing agent — just don’t rely on them entirely.

7. Use the PP sample to start marketing

For a new product, the earlier you test the market, the better. A PP sample already shows the full functionality, materials, size, and selling points — so you can immediately use it to shoot photos, videos, and ad creatives.

Then start testing your channels — KOLs, Amazon listings, landing pages, or launching/updating a Kickstarter or Indiegogo campaign.

If the results look promising, you’ll likely start receiving your first orders. At that point, you can evaluate whether you should increase the initial production quantity so your inventory can keep up with your expected sales pace.

If the feedback isn’t ideal, continue refining the PP sample or switch to another product and keep testing.

If your product is something like creative toys, figures, or decorative pieces where the “design shape” is the core selling point, you can also start by 3D-printing a small batch of 100–200 units to test the market instead of investing thousands of dollars to open a new mold right away — just like many of our clients do.

8. Customize packaging for your products

To customize packaging, I honestly don’t recommend going on Alibaba to search for suppliers. You’ll likely find high MOQs and prices that aren’t cheap at all.

9. Start mass production, inspect goods, and arrange shipping

Once you place the order, the factory will start mass production. Don’t assume you can just sit back — keep following up and make sure the bulk goods match your sample.

If defects go beyond the agreed limit, we’ll compensate you. Most suppliers won’t do that.

Usually, people with preferred styles and some basic packaging concepts will search for and compare Chinese suppliers on Alibaba and Google. If you are a beginner without any ideas about packaging, US printing shops are better choices to quickly understand packaging essentials and get inspiration.

What is the first step for custom packaging?

When customizing packaging, many people rush into design. The first step, however, is to know your basic needs:

Select the packaging type based on your product: regular packing boxes, bags, or premium gift boxes.

Choose the suitable packaging size according to your product shape, volume, and weight, just like tailoring clothes to fit perfectly.

Step 1: Select your custom packaging type, size, and materials.

The first step is to choose the packaging types you need, like mailer boxes, bubble mailers, or pouches. Feel free to send us pictures of your preferred packaging.

Provide us with your product dimensions so we can calculate the packaging size to ensure it fits your products perfectly.

Tell us what kind of packaging materials you want. If you’re not sure, we’ll recommend suitable materials based on your product, box style, and budget, and offer you some suitable examples.

Recently, we had a client who wanted to customize packaging for 500 wireless chargers but didn’t know which box style, material, or price to choose. Regarding packaging design, Chinese suppliers will usually support you. If you find communication challenging or time-consuming, consider finding a local designer, like US printing shops, or part-time graphic designers on Upwork and Fiverr. You just need to send him the die-cut template along with your confirmed product sample and tell him your requirements.

If you have some design knowledge, it’s easy for you to add text, images, logos, and other elements for layout design yourself. And specify details like the cardboard thickness & box size.

Once you approve the packaging sample, the printing factory will begin mass production. The lead time is usually 7-15 days, depending on materials, printing methods, box type, etc. Additionally, it is also convenient to send 500-1000 boxes by express, around 10 days to your door (US/EU).

How much is custom packaging from China?

Finding Chinese suppliers to customize packaging can be at least 60-70% cheaper compared to suppliers in the US and Europe. There are many Chinese suppliers in the packaging industry, offering a vast range of solutions for product packaging.

No matter whether your order is big or small, you have to pay a fixed fee which includes a print plate charge, die cut charge, and operating charge. Totally, it is around $150. The more you buy, the cheaper the price will be.

You can find printing factories on Alibaba if you have the time and energy. Although Alibaba’s MOQ is high, with patience, you can find those willing to accept small orders. I suggest choosing the printing factory near your product supplier to reduce transportation costs. Then, make comparisons just like you find product suppliers. The price you end up with might not be the most favorable but acceptable. After all, negotiating discounts for small orders is challenging.

Product customization has been very popular over the recent years. We’ve seen more and more personalized or customized clothes, beverage bottles, cosmetics, etc. 

We’ve also noticed the trend of Company T-shirts across industries. 2 years ago, we also made our own business t-shirts, but we find not many colleagues want to wear them, because they do not like wearing t-shirts of the same color and design with other people; nor do those t-shirts look fashionable. 

After seeing this, we want to do something different this year. Why not purchase some nice hoodies, then use different China Product Agent design logos? This way, our colleagues can choose the style they like, the color they like, and make their t-shirts different from others. 

This is exactly how our story of customizing our own t-shirts starts. We’d much like to share with you our experience of how we made it possible from concept to reality. Keep reading and feel free to reach out to us for more discussion. 

Purchase T-shirts from wholesale markets 

Once we decide to do it, the first question that comes to mind is where to purchase the t-shirts. There are many ways to find t-shirt suppliers in China, such as wholesale markets, online platforms, trade fairs, and so on. We are in Yiwu, the nearest market is Yiwu clothing wholesale market, one of the largest clothing markets in China. We can also go to Hangzhou, which is not so far away, within an hour’s reach by car. 

After consideration, finally, we decided to go to Hangzhou Zhidi International market, the best men’s clothing market in Eastern China.

We walked around in the market, looking for the t-shirt styles that we want and bargaining with the suppliers or the best price.

We have 50+ employees in our office, though our purchasing quantity is not large, the good thing is that it is big enough to get a wholesale price! 

We were able to buy each t-shirt for only 25-50 RMB ($3.8-$7.6)! For those t-shirts, if you just buy 1 piece, the suppliers will quote you a retail price, usually around 100 RMB for one t-shirt. 

After around 3 hours in the market, we finally got all the Tshirt samples from 3 suppliers with different colors and sizes! Happy results to bring back to the office.

Design and Choose Logos

After coming back to the office, we started to design different logos with our in-house graphic designer. We browsed hundreds of t-shirt designs on the internet and finally chose to use silkscreen, embroidery letters and embroidered patch.

We also built a page on our website to let our colleagues choose the design and color they like. 

After that, we were able to calculate the number of different t-shirts for each design. Based on that, we started to find manufacturers to get them all printed. 

Find Right Manufacturers for Each Printing Method  

The hardest part of the entire process was finding the right manufacturers for each T-shirt printing design. We wanted to find manufacturers that specialized in each printing method, and were also willing to accommodate small quantities at a good price. 

As most manufacturers have MOQ requirements, and our quantity is much smaller than that. With the introduction of my friend, there are several manufacturers were willing to do us a favor. 

After getting connected with these manufacturers, we made an appointment with each of them and visited all of the 3 manufacturers on the same day to finish all the logos.

Factory 1: Clothing Workshop 

Firstly we went to a clothing workshop to help us sew on embroidery patch logo.  

Although this type of workshop is very small, they can make almost all types of clothes, no matter it is a t-shirt, hoodie, or down jacket. Of course, their prices will be much lower than those big-scale clothing manufacturers

An embroidered patch is a cloth badge, which can be made by hand or using embroidery machines. There are various ways of attaching an embroidery patch to the fabric surface, such as sew-on, iron-on, etc. You can see them widely used on hats, clothes, appearing very high-quality. 

And the cost? We only spent around $20 for making 25 pieces of patches. The supplier only charged us $15 for sewing all these patches on 25 pieces of t-shirts. In total, we only spent $1.4 for using this embroidery patch solution. If we have over 100 pieces of t-shirts to let them process, the total cost for each one will be even less than $0.8.

After that we went to an embroidery manufacturer, they will help us make the embroidery logo on the t-shirts.

There is one thing that I’d like to mention here. In the beginning, when we presented our printing requirements to the manager of the factory, he told us it is very hard to print the embroidery logo on these finished clothes. Because the clothes cannot be put flat and fixed on the machines. But we finally made it by adjusting the logo a little bit smaller. 

Usually they embroider this type of logo on the cloth, instead of finished clothes. This is the easiest way for them. That’s also why what we see on the machines is all cloth (just like below).

This design is the most popular one among my colleagues, as the embroidered logo makes this whole Tshirt look like a brand one that you buy from the shopping mall. 

As we only have 40 clothes to process, the supplier charged us $1 for each t-shirt. We were told that if we have 200 t-shirts to process, they will charge less than $0.5 each. 

Factory 3: Silk Screen Printing Manufacturer 

After settling down all the things with embroidery manufacturer, we went on to a silk screen printing manufacturer to finish the rest of the clothes. 

Silk screen printing is the most popular printing technique used by companies to print designs onto products of different sizes and materials. It is also the cheapest printing method. A mesh is used in this technique to transfer ink onto a substrate. 

Below is the manager of the silk screen printing manufacturer, making a printing mold before printing our designs onto the t-shirts. Usually a printing mold costs around $20.

Finally, we finished printing all samples of 3 designs on t-shirts of different colors. They all look pretty good. For the week followed, all the t-shirts will arrive at our office.

We are so happy to see them all finished. The manufacturer charged me $20 for creating the printing mold for each design, and $0.8 for printing each t-shirt. 

As you can see from the whole process, we just spent an average price of $7 to buy from the clothing wholesale market, plus $1 for the logo printing, that is $8 in total to customize one t-shirt in China

Guess about the price for t-shirts of the same quality in the shopping mall. It’ll cost $30 or more in China’s retail stores.
